A tidy photo library is a pleasure to work with right up to the moment the drive holding it stops spinning. Careful folder names, consistent file names, a gallery built for the family website — all of it lives on one piece of hardware that will eventually fail, get dropped, get stolen, or get encrypted by something unpleasant that arrived in an email attachment. Organization and backup are different jobs, and the second one gets postponed far more often.
The good news is that a home backup plan does not need to be clever. It needs to be boring, written down, and occasionally tested. The framework most people settle on is the 3-2-1 rule, and it is worth walking through what each number actually demands once you apply it to tens of thousands of photographs rather than a handful of documents.
What the 3-2-1 Rule Asks of You
Three copies of the data. Two different storage media. One copy kept somewhere else. That is the whole rule, and every part of it exists because of a specific way people lose their photos.
- Three copies means the working library plus two backups. Two copies sound sufficient until the day you discover that a folder went missing three months ago and your single backup faithfully copied the deletion.
- Two media means the copies should not share a failure mode. Two partitions of the same internal disk are one copy wearing a disguise. An internal drive and an external drive are genuinely two.
- One off-site means one copy is beyond the reach of whatever happens in the room: theft, a burst pipe, a power surge that travels down the cable into every device plugged into the same strip.
Photo libraries make the rule harder in one particular way: they are large, and they grow in bursts. A weekend trip adds several gigabytes in an afternoon, so a plan built around copying everything by hand collapses the first busy month.
Decide Which Copy Is the Master
Before choosing hardware, decide what you are protecting. In most households the answer is the camera originals, and everything else — edits, exports, resized web versions — can be recreated if it disappears. Naming that master folder explicitly changes the whole task: you are no longer backing up "the computer", you are backing up one tree with a known size and a known growth rate.
This is where a consistent naming scheme earns its keep a second time. If your originals already carry dates and event names instead of DSC_0491.JPG, you can see at a glance whether a backup is complete, and a restored folder is immediately usable rather than being a pile of anonymous numbers. The Second Copy: Local, Fast, Unplugged
The local backup is the one you will actually use, because most losses are ordinary: a deleted folder, a failed drive, a laptop that will not boot. An external drive twice the size of the library is the usual answer, and the mistake most people make is leaving it connected all the time.
A drive that is always mounted is exposed to everything the computer is exposed to. Ransomware encrypts it along with the original. A power event reaches it through the same outlet. An accidental format command finds it in the same file manager. Connecting the drive for the copy and disconnecting it afterwards costs you two minutes a month and removes an entire category of disaster. Copy with a tool that mirrors rather than one that merely drags folders. Any file synchronization utility that reports what it added, replaced and skipped will tell you in seconds whether the run was complete, which is information a manual drag-and-drop never gives you.
The Third Copy: Somewhere Else Entirely
Off-site does not have to mean cloud storage. A drive at a relative's house, swapped on visits, satisfies the rule perfectly well and costs nothing per month. It is slower to update, which is fine: the off-site copy protects against rare catastrophes, so being a few weeks behind is acceptable.

Second, check how the service handles deletions: a sync folder that instantly propagates removals is a mirror, not an archive, and versioning is what turns it into a backup.
A Backup You Have Never Restored Is a Guess
The part everyone skips is the only part that proves the rest works. Twice a year, pick one month at random, restore that folder from the backup into an empty directory, and open a few images. Count the files and compare the number against the source.
Restore tests catch problems that no backup log will show you: a job that has been silently excluding a subfolder, an external drive with an intermittent cable, archive files that were never completed, an encryption key nobody wrote down. Finding any of these during a calm Sunday test is a minor annoyance. Finding it while recovering from an actual failure is the worst day of your digital life.
Keep the Routine Small Enough to Survive
Ambitious backup schedules die within a quarter. A routine that lasts tends to look like this:
- After every shoot: import, rename, and delete the frames you will never use. Backing up thousands of throwaway shots wastes space and makes every copy slower.
- Once a month: connect the local backup drive, run the mirror, check the report, disconnect.
- Every few months: update the off-site copy, or let the cloud sync catch up if you use one.
- Twice a year: run a restore test and write the date on a label taped to the drive.
Keep a plain text file at the root of the library listing what is backed up where, when each copy was last refreshed, and which drive is which. It takes a minute to maintain and answers the question you will be asking in a panic: where is the newest copy of this?
One more habit worth forming — when you publish images, such as a thumbnail gallery for a website, treat the published copies as disposable output. The originals are what you protect; galleries, thumbnails and exports can always be generated again.
Start With One Folder
If none of this exists yet, do not plan the perfect system. Plug in whatever external drive you own tonight, copy the single folder you would most hate to lose, and disconnect it. You now have two copies where yesterday you had one, and the rest of the rule can be assembled over the coming weeks.
